Scaling Process, a 5-star rated agency based in Montreal, is looking for a project/product manager to own client relationships and project delivery as we scale.
We operate as both a client services agency and a product venture studio - meaning you'll manage client projects AND internal products we own and build ourselves.
We're scaling fast. We need someone experienced to be the glue between our clients, our dev team, and our designer - keeping projects on track and clients happy.
This is a fully remote role with EST time zone availability required. You'll work directly with the founder and a small, tight team that ships fast and holds a high bar.
What we're looking for
We're looking for someone who has done this before. You must have a track record to show - projects you've managed, clients you've handled, results you've delivered. We will review everything carefully.
Ideally from an agency or fast-moving startup environment.
No relevant experience = no consideration.
Requirements
- 2+ years of experience in project management, product management, or client success in a software/tech environment
- You've managed multiple projects simultaneously without losing track
- You know how to manage client expectations without overpromising
- AI-first - you leverage AI tools daily to work smarter and faster. Claude AI, Cursor, OpenAI, MCPs - you're comfortable with these and always looking to learn more. Non-negotiable.
- Comfortable with project management tools like Notion and Asana
- Strong written and spoken English. French is a strong asset given our client base. Additional languages are a bonus.
What you'll do
- Own client communication - updates, check-ins, managing expectations, keeping relationships strong
- Run project delivery - sprints, timelines, priorities, making sure the team ships on time
- Bridge the gap between clients and the dev/design team - translate business needs into clear, actionable tasks
- Assign tasks to team members, follow up on progress, and keep everyone accountable
- Proactively flag risks, blockers, and scope changes before they become problems
- Help prepare proposals, estimates, and scoping documents for new and existing clients
- Build, document, and continuously improve SOPs and internal systems as we scale
- Work closely with the founder on strategy, hiring, and growing the agency

- Technically literate - you don't need to code, but you understand how software is built
- You leverage AI to learn fast, get unblocked, and find answers on your own
- Business-minded - if you've run a business or built something from scratch, we value that experience highly
- Security-conscious - you handle client data and communications with care. NDA + ICA required before day 1.
- Comfortable with Slack, Loom, Zoom, Figma, Notion, and Asana
- Available during EST business hours
Compensation
Base salary: $5,000/month ($60,000 annually USD)
Performance bonuses plus profit share/equity opportunities
Growth potential to $100,000+ based on performance
